Know Your Numbers

Revenue tells you how big the business is. The numbers underneath it tell you how healthy it is.

You can be busy and not profitable. You can grow revenue while shrinking margins. You can have more work than ever and somehow have less cash.

The goal isn’t to become an accountant. It’s to understand the handful of numbers that help you make better decisions.

Bring your current profit-and-loss statement, balance sheet, receivables report, bank balance, and a calculator. Then work through the map.

NUMBER 01

Revenue

How much the business sold.

Compare this month, quarter, and year with the same periods last year and with your plan.

NUMBER 02

Gross Profit

What remains after the direct cost of delivering the work.

Revenue minus direct labor, materials, products, subcontractors, and other costs tied to the sale.

NUMBER 03

Gross Margin %

How efficiently revenue becomes gross profit.

Gross profit ÷ revenue × 100. Watch the trend—not only the current percentage.

Operating Expenses

What it costs to keep the business running.

Payroll, rent, software, vehicles, marketing, insurance, professional fees, and overhead.

Net Profit

What the business actually earned after expenses.

Review both dollars and percentage. Growth without improving profit deserves investigation.

Cash Flow

When money actually enters and leaves the bank.

Profit on paper does not pay Friday’s payroll. Look ahead at least 13 weeks.

Accounts Receivable

Money customers owe you.

Track total receivables, aging, average collection time, and customers drifting past agreed terms.

Break-Even Point

The sales required to cover costs.

Know the minimum monthly revenue needed before the company begins producing profit.

Which customers, jobs, products, or services create value.

Revenue is only useful when paired with the real cost and effort required to produce it.
