FIELD GUIDE 05 · BUSINESS HEALTH

The Quarterly Health Check

A business can travel a long way in 90 days. Make sure you’re still headed where you intended to go.

There’s a difference between looking at the business every day and looking at how the business is doing.

Climb out of the weeds.

This isn’t another meeting or a 47-page plan. Grab your financials, your leadership team if you have one, a notebook, and a decent cup of coffee.

What changed? What’s working? What’s not? What deserves attention next?

CHECK 01

Check the Compass

Remember where you’re trying to go.

What mattered 90 days ago? What happened? What changed? Are those still the right priorities—or are you simply staying busy?

02
CHECK 02

Performance

Start with the numbers—but don’t stop at revenue.

Review revenue, gross profit, margin, net profit, cash flow, receivables, debt, and the next 30–90 days of backlog or pipeline. Compare them with last quarter, last year, and the target.

03
CHECK 03

Profitability

Are you doing more work—or making more money?

Identify profitable and unprofitable customers, services, and jobs. Review missed estimates, surprise costs, discounts, rework, callbacks, and overtime.

04
CHECK 04

People

How is the team doing—not just how many people are on it?

Who joined, left, stepped up, or is struggling? Are responsibilities clear? Are managers managing? Is training keeping pace? Where does the team feel friction?

05
CHECK 05

Operations

What’s harder than it should be?

Follow repeated mistakes, delays, duplicate entry, workarounds, and approvals that depend on one person. Ask the people doing the work, then listen.

CHECK 06

Customers & Growth

Attract more of what you actually want.

Review where the best customers came from, effective channels, close rate, complaints, lost customers, requests, pipeline strength, and work that no longer fits.

07
CHECK 07

Cash & Capital

Profit matters. Cash keeps the lights on.

Look 90 days ahead for equipment, seasonal slowdowns, taxes, contracts, hiring, inventory, renewals, debt maturities, and expansion.

CHECK 08

Risk

What keeps working only because it always has?

Walk the perimeter: insurance, contracts, licenses, cybersecurity, concentrations, key people, debt, legal exposure, succession, and continuity.

09
CHECK 09

The Owner

Yes. You belong on the health check too.

Are you spending time where you are most valuable? Constantly reacting? Taking time away? Is growth creating more freedom—or less?

10
CHECK 10

Choose the Next Trail

Don’t finish with twelve new priorities.

Choose one thing to protect, one to fix, and one to pursue. Assign ownership, define progress, put a date on it, and return to running the business.

YOUR 90-DAY FIELD NOTES

Write down the answers.

Keep this page and bring it back next quarter. Now you’re watching the trail your business is actually traveling.

SOMETIMES THE NUMBERS AREN’T THE HARD PART

The hard part is knowing what they mean.

An outside perspective can reveal patterns almost impossible to notice from inside the operation.

Vibe Virtual can connect you with experienced professionals who can review your numbers, operations, people, and priorities.
